CONFERENCE REGISTRATION AND GENERAL INFORMATION FAQs
What's included in CalSPRA Day?
CalSPRA Day marks the opening of all conference-related registration and submissions! Beginning September 1, you can register for the CalSPRA conference (including 5K registration, extra gala tickets, and Annual Commemorative T-shirt), submit your presentation proposal, and submit awards. However, you don’t have to register for all items at once! You can always register for extra tickets or submit your proposals at a later time.
Can I register multiple people at once?
Yes. If you are registering for yourself and others, select the "Yes, register me" option and follow the prompts. If you are registering for others only, select "No, just purchasing." You will be able to adjust the quantity of tickets and complete registration for each individual by following the prompts on screen. Please be sure to check all the required fields. Some fields might require you to re-make the selection.
The dropdown selection for the required fields isn’t working. What should I do?
If you are registering multiple people, you may experience this if you are trying to select the same dropdown answer that you used on the previous registration ticket. Simply select a different answer first, and then go back and select the correct answer from the dropdown.
Do I have to register for all conference add-ons (i.e. 5K, Commemorative T-Shirt etc.) all at once?
No, you can return to add items to your registration at any time.
How long is the early bird registration available?
Early bird registration is open through October 31st, 11:59 p.m. PST. We recommend you take advantage of this discounted rate!
Can I pay with check or a purchase order?
Yes. If you need to pay by check or PO, do not register on the website. Please email Karen at karen@calspra.org first, prior to registering.
Will pre-sessions be available this year?
Yes. The Newcomer session is listed as a ticket during registration and is free to attend. Be sure to select it when registering if you plan to join us. Pending space availability, other pre-sessions may be added at a later date. We will notify members if sessions are added.
When is the last day to cancel a conference registration?
You have until February 22, 2027 to cancel a conference registration and receive a full refund.
HOTEL INFORMATION FAQs
What dates are included in the room block?
The room block includes Wednesday, March 10-Sunday, March 14. If you select dates outside of this range, it will show zero availability.
How do I extend my hotel reservation outside of the room block dates?
If you need to book additional nights, you can call the hotel to schedule them outside of the room block.
The conference hotel block is full, what are my other options?
An overflow block at the same hotel but at a higher rate will open when the initial block is full. After that, overflow hotel options will be posted on the conference homepage.
AWARDS INFORMATION FAQs
When does the awards submission close?
It closes on the same date that Early Bird Registration closes - October 31, 2026 at 11:59 p.m. PST. This is also when the Call for Presenters closes. If you are traveling in a different time zone, the closing time will align with the time zone you’re in. DO NOT wait until the last day to submit for an award, as no extensions will be provided under any circumstance.
If I worked with a vendor/consultant on my awards submission, do we both submit for the award?
Only one of you should submit for an award. Additional awards will be available for purchase after winners are announced.
Is there a fee for submitting special recognitions?
No, they are free to submit.
May I nominate myself for a special recognition?
Yes!
When does awards gala registration close?
Gala tickets will close at the same time as standard registration to ensure an accurate headcount is provided to the hotel. You can wait to purchase gala-only tickets until after award winners are announced.
PRESENTER INFORMATION FAQs
When does the Call for Presenters close?
It closes on the same date that Early Bird Registration closes - October 31, 2026 at 11:59 p.m. PST. This is also when award submissions close.
If I am planning on presenting with a co-presenter/team, do we all need to submit a proposal?
In the Call for Presenters submission process, it allows you the opportunity to add co-presenters in the same proposal.
This is my first CalSPRA conference; may I still submit a Call for Presenters proposal?
Yes! We encourage everyone at every stage to submit to present. We love providing members with different perspectives.
